The problem: Veri*factu and thousands of outstanding invoices

The Galicia Handball Federation manages more than 5,000 registered members across dozens of clubs. Its economic activity involves the regular issue of invoices: federation fees, licences, referee fees, competition entries, and training services.

When the obligation to issue electronic invoices compliant with the Veri*factu standard came into force, the federation faced a scale problem. Their usual process — invoices in Word, numbered by hand, sent by email — was incompatible with the new legal requirements. The risk of penalties was real.

"We had an external accountant telling us we had to change, but we didn't know where to start. And the clock was ticking," explains Pilar, the federation's treasurer.

The solution: integrated and compliant invoicing

Fustibus integrates the Veri*factu electronic invoicing module directly with the fee collection module. When a club pays its federation fee or a licence, the corresponding invoice is automatically generated, numbered with the correct series, digitally signed, and recorded in the system.

The initial setup — invoice series, tax details, invoice template — was completed in an afternoon. The Fustibus team reviewed the configuration with the federation's tax advisor to ensure everything met the required format before the first cycle.

The accounting export module allows a file compatible with the accountant's software to be downloaded at month-end, eliminating the need to re-enter data.

One year later: zero errors, zero delays

In the full fiscal year following implementation, the federation issued 847 electronic invoices completely automatically. The monthly financial close went from taking two days to being a 20-minute process: review the report, generate the export, send it to the accountant.

Pilar sums up the change simply: "Before, the month-end close was three days of stress. Now it's half an hour of review. No errors because there's no manual input. Everything tallies because everything is integrated."
